We use the information you provide through the contact form solely for the purpose of handling and responding to your enquiry.

Storage and Protection

We retain our correspondence with you in HubSpot for up to one (1) year after your enquiry has been resolved. This enables us to assist you effectively should you return with follow-up questions at a later date.

After this one-year period, all data relating to your enquiry will be permanently deleted.

Your information is stored in our CRM system, which is hosted in the Netherlands. We retain and maintain your personal data until you instruct us to delete it.

Subscriptions

Maxem provides its Services through subscription plans. In order to provide these subscriptions and to properly manage billing and payments, we need to process certain information about you. Depending on your circumstances, this information may constitute personal data.

  • Company details (optional);

  • Contact details;

  • IBAN bank account number;

  • VAT number (optional); and

  • Alternative email address for delivery (optional).

We use this information to register your Subscription in your name or in the name of your organisation, to deliver the Controller (where applicable) and associate it with your location, to contact you if an issue arises with your order, to prepare your invoices, and to allocate your payments to the correct Subscription.

In addition, based on our legitimate interest and in connection with the product or Service you have purchased, we may inform you about developments that may be relevant to you. This may include industry trends, market information, and information about Maxem's products and Services.

If you no longer wish to receive such information, you can notify us at any time, after which we will no longer use your personal data for this purpose.

Storage and Protection

For the financial administration of your Subscription or order, your personal data is recorded in our accounting system and retained for a period of seven (7) years, in accordance with applicable legal requirements.

Your personal data is also stored in our CRM system. We retain and maintain your information in this system until you instruct us to delete it.

Both systems store your personal data within Europe (the Netherlands and Ireland or Germany).

The processing of your payments takes place outside our website through Mollie Payments, Exact, or our banking provider, all of which store transaction data within Europe.

Although Mollie Payments, Exact, and our banking provider act as independent data controllers with respect to payment processing, we are happy to assist you with any requests to access your personal data where possible.

Maxem Energy Cloud

To process charging sessions, we use the hidden ID of charging cards to verify whether the card used is authorised to initiate a charging session. We do this by checking, through our OCPI connection, with the relevant eMSP (eMobility Service Provider)—the issuer of the charging card—whether the card is active.

For this verification process, we only process anonymous data that cannot be linked to an identifiable individual.

In some cases, however, a charging card may be exempt from charging fees. In such cases, the charging card must first be registered within our platform. In addition, you may choose to receive reimbursement for the electricity costs incurred when charging at your charging station or to make use of other smart features available through our platform. To provide these services, we need to process certain information about you.

Depending on your circumstances, this information may constitute personal data.

The information we process may include:

  • Company details (optional);

  • Address details;

  • Contact person's name;

  • Contact details;

  • IBAN bank account number;

  • VAT number (optional); and

  • Email address used to access the platform.

How We Use Your Data

  • exempt your electric vehicle (EV) charging sessions from charging fees where applicable;

  • reimburse electricity costs incurred when charging at your charging station, where applicable;

  • contact you if an issue arises;

  • prepare invoices or credit invoices; and

  • allocate reimbursements to your account.

In addition, based on our legitimate interest and in connection with the Services you use, we may inform you about developments that may be relevant to you. This may include industry trends, market information, and information about Maxem's products and Services.

If you no longer wish to receive such information, you can notify us at any time, after which we will no longer use your personal data for this purpose.

If your complaint relates to an existing business relationship with Maxem, the information relating to your complaint will be added to your customer file once the complaint has been resolved.

If your complaint is unrelated to you being a customer of Maxem, your personal data will be retained for up to two (2) years after the complaint procedure has been completed.

Job Applications

Thank you for considering a career at Maxem.

When you apply for a position with us, you entrust us with a significant amount of personal information. We take that responsibility seriously and handle your personal data with the utmost care. Below, we explain how we process your information and how you can exercise control over your personal data.

A typical job application may include the following personal data:

  • Name and address details;

  • Contact details;

  • Curriculum vitae (CV); and

  • Cover letter or motivation.

With your consent, we may also contact the references you have provided. You are, of course, free to grant or withhold your consent. Please note, however, that declining to provide consent for reference checks may result in your application not being considered further.

How We Use Your Data

We use the information contained in your application solely to assess your suitability as a potential colleague at Maxem and, based on that assessment, either invite you for an interview or inform you that your application has not been successful.

We do not use the personal data contained in your application for any purpose other than processing your application.

Storage and Protection

We delete your personal data within four (4) months after the recruitment process for the relevant vacancy has been completed.

For unsolicited applications, your personal data will be deleted four (4) months after we have responded to your application.

We will only retain your personal data for a longer period if you specifically request this or provide your consent. In that case, your data will be retained for one (1) year.

Your application is stored using the same medium through which it was submitted. For example:

  • paper applications are retained in paper form; and

  • applications submitted through LinkedIn or Join are stored within the Join recruitment platform.
